How to organize passport details for repeat forms

Record the full legal name exactly as displayed, passport number, nationality, date and place of birth, issuing country, issue date, and expiry date. Keep optional fields optional; collecting more information than a workflow needs creates more review and security work.

Create a separate passport information set for each person. Avoid placing several family members in one note because it becomes harder to select, update, and share the correct value.

Save one reviewed source date, then format that date for the current form. A day-first form, month-first form, and ISO-formatted form can display the same date differently without creating conflicting records.

Set reminders well before expiry based on your own travel plans and the current rules of the relevant destination or carrier. FamiForm does not determine whether a passport is valid for a trip.

Compare scanned suggestions character by character with the original passport before saving. Pay particular attention to zero and O, one and I, spacing, and labelled dates.
